Work flow delegation

Go to the system Administration ->users-users. click on user options then workflow. Switch on the 'Send notifications in email' and ensure that the delegation is added to the appropriate individuals.

Include the dates and enable each delegation, following the format provided below: 



Here’s some information regarding hierarchy and workflow processing.

 

  1. Employees screen (Figure 1) – check position and verify if employee is part of a hierarchy.  Employee hierarchy is used in D365 workflow processing (based on signing limits – Figure 6).
    1. Check employee position (Figure 2) and hierarchy.   Hierarchy can be viewed by clicking on “View in Hierarchy” (Figure 3).

                                                               i.      Before ending position, make sure to find out if another employee will take over the position.

                                                             ii.      If there is no one taking the position yet, make sure to update the workflow delegation of the employee. This is to avoid delaying any workflow approvals sent to the employee.

                                                           iii.      If there is one taking the position, assign the position to the new employee.  No need to do the workflow delegation.

        1. Make sure the new employee does not have a position that is included in the hierarchy.  Otherwise, it will result to looping in the workflow.   Make sure to terminate old position, if included in the hierarchy (This scenario would be an employee getting promoted to a higher position).
  1. To update workflow delegation setup of a user, go to Users screen (Figure 4) (Only available to sysadd users).
    1. Select user to update
    2. Click on User options in the action pane.
    3. Select Workflow option in the sidebar and add records in the Delegation form. (Figure 5).
    4. If the user is still available to make above changes, coordinate with the Superuser to do the updates.

Once a position becomes available, you can reallocate the roles reporting to it to different positions, pending approval from the respective manager. 




In the screenshot above, navigate to Hugh's position and update the 'Report To' field to the appropriate position. 



1.Click on "View in Hierarchy" to access the position details, then update the "Reports To" field to the relevant manager.
